terms & conditions
fees
All fees are based on an eight hour day, which includes the lunch break (shop act 1950) overtime rates apply outside 0900-1700 hours. All fees are quoted for the UK only, for one year, unless otherwise agreed in writing.
An additional rate is payable for any other use of the photographs, or reproductions or adaptations thereof, or drawings there from, either complete or in part, alone or in conjunction with any wordings or drawings, other than the permitted use. Unless otherwise agreed the 'permitted use' is for editorial or experimental or press advertising and excludes those shown on the usage list below. It is not permitted to use the photographs for any additional purpose whatsoever until all fees have been paid.
special usage
Television commercials/videos, billboards, world wide web, posters, packaging, book covers, point of sale, swing tickets, record covers, public transport. The client is responsible for negotiating the additional rate payable for each of these categories at the time of booking. Unless otherwise agreed these additional fees will be for the UK only for a period of 1 year. Rates for all foreign materials are to be separately negotiated.
Subject to agreement, all fees are based on the models quoted daily or hourly rate. VAT and agreed expenses will be added where appropriate.
working day
The standard working day will be eight hours (inclusive of lunch break) after which overtime will be charged. Normal working hours will be 9.00 am to 5.00pm. Overtime will only apply when one full extra hour has been completed.
bookings
All telephone bookings will be accepted as provisional until written confirmation is received. An ice events limited booking form will be issued to all clients. Until the booking form is signed and returned to ice events limited, the booking will remain provisional.
overtime
If a booking exceeds 9 hours an overtime fee will be charged. The overtime rates are all quoted in the rate card information.
meals
Clients are responsible for all meals on all location bookings. A food allowance fee may be applicable for promotional bookings (see rate card).
cancellations
A 50% fee will be charged for all cancellations within seven days of the booking commencement. A 100% fee will be charged for all cancellations within 48 hours of the booking commencement.
travel
Travel, where applicable, will be charged at cost. Whenever possible models will be encouraged to share transportation, thereby reducing costs. Travel costs will include fuel, parking, train, bus, air, and subway fares.
payments
Invoices will be addressed to an individual or company booking with ice events limited. New clients will be required to pay a 50%/100% deposit before any booking is accepted by ice events limited. VAT will be charged on all invoices. Existing clients will be required to pay within 30 days of invoice.
restrictions on a model
A special fee will be negotiated when the work is in connection with a product which precludes work for competing products. It is the clients responsibility to check whether conflicting work has been done. It must be understood that if a model advertises a product he/she is able to work for any competitor unless an exclusion fee is negotiated.
accommodation
Where applicable accommodation will be arranged by ice events limited. Payment at cost, will be invoiced to the client and will be payable in advance.
location bookings
At the time of a location booking clients must provide information about available transport.
weather permitting bookings
First cancellation at half-fee (unless model arrives at a booking through the clients failure to cancel in time), second cancellation at full fee.
fittings
Fittings will be invoiced at 50% of the normal fee, with an initial minimum fee to be agreed with the agency.
videos
For all videos a daily rate will apply, with a possible buyout fee dependant on usage.
fashion shows
Payment of the agreed fee confers the right to make use of a models services on the catwalk for a specified show and the right to use photographs and video of the show for REPORTING PURPOSES ONLY. Any other usage must be negotiated at the time of the booking.
test and experimental shooting
Models may not sign a photographic release form and photographers may not use the pictures unless specific arrangements have been made with ice events limited.
